The 3-Step Writing Process

OBJECTIVES:
-     Be able to describe and explain the three-step writing process.
-     Message must be;
1. Purposeful: define the goal or purpose of the message. Identify general purpose and specific purpose.
2. Audience-centered: analyze audience’s background, point of view and needs. Develop audience profile.
3. Concise: short and not deviate (detracting)

CONTENT:
I) Writing process comprises of three steps;

1. Planning
2. Writing
3. Completing
1. Analyze the situation
- study purpose, schedule writing, & profile audience.
2. Gather information
-through formal or informal research methods.
3. Select medium; oral, written, visual, or electronic.
4. Organize the information
- define main idea, limit the scope, group the points and choose the direct or indirect approach.
1. Adapt to audience.
2. Compose the message – choose words carefully; be sensitive to cultural language
1. Revise message. Write concisely and clarity.
2. Produce message – use effective design elements and suitable delivery method.
3. Proofread message.
4. Distribute
*when writing a business message, schedule enough time to complete all three steps.

II) Writing Persuasive Messages
An attempt to change an audience’s attitudes, beliefs, or actions.
Step 1: Planning your message
-       To analyze situation while avoiding three mistakes; (1) failing to clarify your purpose, (2) failing to clearly express the purposes, and (3) failing to realize that decision made to someone is too complicated and risky.
-       To gather information necessary to close the gap between what your audience knows, believes,or feels right now and what you want them to know, believe or feel as a result of receiving your message.
-       To select the right medium. Various members of your audience might prefer different media for the same message.
-       To organize information, based on four aspects; (1) defining main idea, (2) limiting your scope, (3) choosing direct or indirect approach, and (4) grouping your points. Persuasive message is about the receiver, and not the sender.

Step 2: Write Your Message
1)    Positive and polite language
2)    Understanding and respecting cultural differences
3)    Being sensitive to organizational cultures
4)    Taking steps to establish your credibility

Step 3: Completing/Distributing/Sending/Transmitting
